What a job application tracker is for.

A job application tracker, or job search tracker, keeps a record of the jobs you’ve applied to, their current status, and your next steps. You can save recruiter details, interview notes, follow-up dates, and the resume you sent for each role.

When a recruiter gets in touch, you can find the application without searching through your inbox. When it’s time to follow up, you can see when you last heard from them.

How to track job applications in four steps.

Add each application when you send it, then update the details as you hear back.

  1. Step 1

    Add the job

    Company, title and the link, before you close the tab. Paste the link here and the tracker fills in the title and the date the employer actually posted the job, which tells you how long it has been open.

  2. Step 2

    Note which resume went, and to whom

    The file name of the resume you sent and anyone you spoke to. When the recruiter calls three weeks later, this is the row you'll be glad you kept.

  3. Step 3

    Set one follow-up date

    A week out is the default. Follow up once, by email, inside two weeks; that's what HR managers say they want. After an interview, a thank-you the same day.

  4. Step 4

    Review the list once a week

    Move rows to their new stages, check which jobs have quietly closed, and look at the pattern. If nothing is answering, the fix is usually the resume or the targeting, not more applications.

What to track for every job application.

Keep the details you’ll want to refer to before a follow-up or interview.

  • Company and title

    The two things you'll be asked on the phone. The recruiter says "it's about the analyst role" and you need to know which of three analyst roles.

  • The link

    Where the posting lives. Paste it and the tracker reads the employer's hiring system for the title, the real posting date and whether the job is still up.

  • Stage

    Saved, applied, interviewing, offer, rejected, withdrawn. Six is enough. A tracker with fourteen stages gets abandoned by week two.

  • Date applied

    Everything else hangs off this. How long you've waited, whether it's time to chase, whether a silence has gone on long enough to count as an answer.

  • Follow up on

    A date, not an intention. The tracker puts it a week out by default and lists what's due at the top of the page.

  • Contact

    The recruiter's name, the hiring manager, the person who referred you. Written down the day you learn it, because you won't remember it in three weeks.

  • Resume version

    Which file went with this one. The field people most often wish they'd kept: the interview is in an hour and you can't remember whether they saw the pricing resume or the analytics one.

  • Notes

    What they asked, what you said, what you'd do differently, the salary range they mentioned. The part that turns a list into a record you can learn from.

  • Google Sheets: create a blank sheet, then File, Import, Upload, and choose the file.

Three things a job application spreadsheet can't do.

  • It reads the posting

    Paste the job's link and the tracker asks the employer's hiring system what it knows: the title, the location, the day the job was first published, the closing date if one was set. A job board date tells you when the listing was refreshed. This is the date the employer set.

  • It tells you when a job quietly closes

    Check the jobs in your list to see which postings have been removed. A removed listing doesn’t confirm the outcome of your application, but it gives you useful context when deciding what to follow up on.

  • It notices what you'd rather not

    Applications that have stayed at “Applied” for 21 days are flagged for review. The flag doesn’t mean you’ve been rejected, and it won’t change the status you’ve chosen.

These studies offer some context for your job search. Each covers a different group of employers or job seekers, so treat the findings as background rather than a prediction for your applications.

What you won't find here: a figure for the share of applications that never get an answer. Nobody measures it well, because the people who could, the hiring systems, don't publish it. The round numbers quoted for it elsewhere trace back to nothing we could find.

Can I import the spreadsheet I already use?

That's roughly what university career services tell students to keep. Salary and location are worth a word each. Skip anything you won't fill in: an empty column is the start of giving up on the sheet.
