Keep the letter brief and make your leaving date clear. These details give your manager and HR a record they can refer to.
01
Start by saying that you’re resigning from your position.
02
Include both so it’s clear which role you’re leaving.
03
An exact date, not "two weeks from today". It's the line people argue about later, so write it plainly.
04
One or two sentences. Even if the job was hard, the letter is a record, and future reference checks can find it.
05
If you’re working a notice period, you can offer to document your current work or agree on handover priorities.
The reason, unless it's neutral. Complaints about anyone. Where you're going. Anything you wouldn't want read aloud in five years.
Choose an example that fits your plans, then replace the placeholders with your details. Adjust the thank-you and handover wording to reflect what you want to say.
The standard letter: leaving, the last day, thanks, a handover. No reason given.
Says you've accepted another offer without saying where. Formal tone.
For when you can't work your notice. Short, apologetic about the timing, and nothing more.
Warmer, because it's the end of a career rather than a move.
When the letter goes by email. The subject line does the formal part.
A little preparation can help you confirm your leaving date and arrange the handover.
1
Review your contract and any applicable agreement or local rules. Check how much notice you need to give and how it must be delivered.
2
Check your leave balance, benefits, expenses, and the process for returning equipment. Keep copies of personal employment records you’re entitled to retain.
3
A brief conversation can help you explain that you’re leaving and discuss the timing. If that isn’t appropriate, follow the formal process with HR or the relevant contact.
4
Use the required format and send it to the right person. Ask for written confirmation of your leaving date.
5
List your current work, deadlines, and anything someone else will need to pick up. Agree on what you can reasonably finish before you leave.
Your notice period depends on where you work, your contract, and any agreement that covers your role. Use this summary as a starting point, then check the source that applies to you before setting your last day. Exceptions can apply; seek qualified advice for a disputed or unusual situation.
| Where | Notice you give | In writing? | Source |
|---|---|---|---|
| United States | None required by law in most jobs: employment is "at will" for both sides. Two weeks is a convention, not a rule. A contract or union agreement can say otherwise. | Not required. Put it in writing anyway, for the record. | US Department of Labor |
| Canada | By province. Alberta: 1 week after 90 days, 2 weeks after 2 years. Manitoba: 1 week under a year, 2 weeks after. British Columbia: not required, though employers expect it. | Required in Alberta, and email counts. Elsewhere, in writing is safest. | Government of Alberta |
| United Kingdom | At least one week once you've worked a month. Your contract usually sets more, and that's the notice you must give. | Not required by law, but Acas recommends a written record. | GOV.UK |
| Ireland | At least one week after 13 weeks' continuous service, or more if your contract says so. | Check your contract. | Minimum Notice Act 1973, s.6 |
| Germany | Four weeks, to the 15th or the end of a month. Two weeks during probation. A collective agreement can differ. | Must be on paper with your handwritten signature. Email, text and scans aren't valid. | BGB §623 |
| France | Set by your collective agreement, contract or local custom. | Oral or written; a registered letter with acknowledgment of receipt is recommended. | Service-Public.fr |
| Netherlands | One month by default, ending at the end of a month. A written contract can change it. | Put it in writing so the date is clear. | Civil Code 7:672 |
| Spain | Whatever your collective agreement (convenio) or local custom sets; the statute gives no number. | Check your convenio. | Workers' Statute, art. 49 |
| Australia | Set by your award, agreement or contract. The Retail Award, for example, asks for 1 to 4 weeks by length of service. | Check your award or agreement. | General Retail Industry Award |

A simple resignation letter needs four or five sentences: say you're resigning from your job title at the company, give your last day as a date, thank your manager in a line, and offer to help with the handover. Leave out the reason. HiringNow's free resignation letter generator writes exactly that, and you can edit any line before downloading.
The shortest resignation letter is two sentences: "Please accept this letter as formal notice of my resignation from my position as [title] at [company]. My last day will be [date]." That's enough to be valid in most places. Adding a line of thanks and an offer to hand over costs nothing and is what your manager will remember.
A resignation letter in 2026 is a short business letter in block format, as it has been for years: your name and contact details, the date, your manager's name and the company, a greeting, two or three short paragraphs, and a sign-off with your name. As an email, the letter becomes the body and the subject reads "Resignation: your name". One page, never more.
Yes, but check any draft for details or promises you didn’t intend to include. HiringNow’s generator uses fixed templates filled with the information you provide. You can edit the wording before downloading.
No, you don't have to give a reason for resigning, and most resignation letters are better without one. If you want to say something, keep it neutral: you've accepted another position, you're relocating, you're going back to school. Criticism of the job or the people belongs nowhere in the letter, because it stays in your file.
Yes, in most US jobs you can resign with two weeks' notice: employment is at will, so no law sets a notice period and two weeks is the custom. Elsewhere the contract usually decides. In the UK the legal minimum is one week once you've worked a month, but contracts often say a month. In Germany it's four weeks to the 15th or the end of a month.
In the UK you have to give the notice your contract sets, which is often four weeks or a month. With no notice in the contract, the legal minimum is one week once you've worked there a month, according to GOV.UK. Leaving with less notice than your contract requires, without your employer's agreement, can be a breach of contract.
You can resign immediately in the UK only if your employer agrees to waive your notice, or if you've worked there less than a month and your contract sets no notice. Otherwise, leaving without the notice in your contract can be a breach of contract, and your employer only has to pay you for the time you worked, plus any accrued holiday, according to Acas.
It's better to give two weeks' notice if you can. It costs you little, it protects your references, and in many places outside the US the notice is a contract term you'd otherwise be breaking. Leaving without notice is sometimes the right call, for your health or safety; HiringNow's generator has an "effective immediately" letter for that.
Yes, in most places it's acceptable to resign over email, and email is often how the formal letter is delivered. Tell your manager in person or on a call first, then send the email and copy HR. Alberta's rules explicitly allow electronic notice. The exception is Germany, where a resignation must be a paper letter with your handwritten signature to be valid.
Yes, in most US states an employer can let you go the day you hand in your notice: at-will employment works both ways. In the UK, your employer can put you on garden leave on full pay, or pay you in lieu of notice if your contract allows it. Back up your personal files and know your final pay rules before you resign, just in case.
If your employer makes a counteroffer, decide before the conversation whether anything would change your mind, and if not, say so kindly: thank them and repeat your last day. If more money would have kept you, ask yourself why you started looking. A statistic about counteroffer accepters leaving within a year is widely repeated; we found no original source for it.
You can take back a resignation only if your employer agrees. In the UK, Acas says an employer doesn't have to accept a withdrawal, though it should think carefully if you resigned in the heat of the moment. The same is broadly true elsewhere. If you might change your mind, don't send the letter yet.
Whether you're paid for unused vacation when you resign depends on where you work. US federal law doesn't require it, so it comes down to your state and your employer's written policy: California requires payout of accrued vacation, while Texas requires it only if a written policy promises it. In the UK, accrued but untaken holiday is paid in your final pay.
When you get your final paycheck after resigning is set by your state in the US; there's no federal rule. In California, if you give at least 72 hours' notice you're paid on your last day, otherwise within 72 hours. In New York it's the next regular payday, and the same in Texas when you quit. Elsewhere it's usually your normal payday.
